Gret Cambodia is seeking for a qualify candidate for the position of Secretary/Admin Officer to fulfill SAF‘s work. GRET is pleased to make an Internal Announcement for all staff members who interested in this position. The Secretary/Admin Officer will collaborate closely with Gret Country Representative and work under his supervision.
The job purposes are to:

To make sure that secretary, admin and logistic are functioning well in GRET.

Fully support Country Representative on general administrative tasks, hosting visitors or mission from HQ.

Job Requirement :
|
|
-
Bachelor degree in public administration, management, finance, economic or equivalent
-
MBA graduation is preferable
-
A minimum of four years relevant donor funded project administration work experience
-
Has experience on admin management with international NGO is an asset
-
Good working knowledge of Excel Spread sheet, Microsoft Word, Email Microsoft Outlook
-
Functions well in a multi-cultural environment
-
Practical experience of pro-actively admin management, secretarial task
-
Experience on car schedule arrangement, visa, passport arrangement, booking international travel for expatriate
-
Strong communication and inter-personal skills
-
Ability to work effectively under pressure
-
Good team player
-
Fluency in spoken and written Khmer and English
-
Strong commitment to the mission and vision of GRET

Job Duties :
|
|
Secretary Tasks
-
Arrange schedules for incoming missions if needed
-
Maintain proper records and filing, managing of GRET Documentation
-
Mailing, and dispatching in-coming mails and information of addressees,
-
Photocopy, basic translation services,
-
Handle Representation attendance register and leave register, follow up leave (HQ staff)
-
Specific support to GRET project upon requested and approval from the Country representative
Admin-Logistics
-
Purchase stock and control of stationeries for GRET representation office
-
Maintain the Representation inventory list of assets and furniture management
-
Dealing with visa application and extension, follow-up of passports validity for expat staff
-
Supervise the work of the cleaner, driver and guards
-
General management of the office, under direct supervision of GRET Representative:
-
Staff management ((internal rules, working conditions according to Labour Law, salary scale, etc.), control and guide staff
-
Expenses follow-up to minimize office expenditures (petrol, products, food, etc.)
External Relation:
-
Ensure the relationship with the local authorities (renewal of authorizations, licenses, visa, reporting to Ministries…etc.).

Ensure the welcoming of visitors and answer to the phone, passing on properly the messages
-
Assist Country Representative in the organization of missions and meetings
Finance Tasks
-
Petty Cash keeping,
-
Check the conformity of the vouchers (amount, descriptions, seal or signature of the shop, GRET approval)
-
Present at least monthly the petty cash book to the Representation accountant and Country Representative
-
Receive and settle monthly the petty cash book advance
-
Provide the monthly budget follow up of the Representation with the accountant
-
Manage the cash requests of projects in liaison with the accountant, ensuring timely availabilities of cash.
