Job Requirement :
  • Degree qualifications in Business Administration, Law, Labour Economics
  • A minimum of 2 years post-graduate experience in either a Human Resources or Administrative position
  • Basic understanding of principles of labour and employment legislation within the relevant jurisdiction(s)
  • Intermediate written and spoken communication skills including some negotiation skills
  • Intermediate organizational and time management skills with the ability to work under pressure and to tight time frames on occasion
  • Intermediate skills in at least two areas of Human Resource function including: recruitment, employee relations, training, compensation & benefits, strategic human resources, performance management, organization health and safety, working with foreign nationals
  • A positive attitude and willingness to learn Human Resources and business administrative processes are important in this position
  • Intermediate spoken and written English skills are also required
Job Duties :
  • COMPENSATION & BENEFITS
    • Administer the company's compensation and benefit in accordance with established policies so that employees receive the appropriate compensation and benefits for their positions on time
    • Update the payroll data to meet with changing Labor Laws
    • Under limited supervision, process the Company’s payroll accurately and on time. Activities may include; accounting; distributing and preparing payments, benefits, taxes, and payroll deductions; calculating bonuses; maintaining payroll records. Resolve enquiries from employees
    • Annual leaves of employees are managed and recorded correctly and timely
    • Coordinate with Administration Department to organize annual health check-up for all employees as scheduled
    • Develop and maintain a personnel filing system and staff database in both soft and hard copies to ensure the availability and confidentiality
    • Ensure the health and accidental insurance of all employees to be bought on time and correctly
    • Ensure all payments to insurance broker to be paid correctly after making the reconciliation during the year
    • Ensure PIT, social, health and unemployment insurances (SHUI) of all employees to be declared correctly in accordance with the updated laws
    • Ensure SHUI to be reconciled with Local authorities on a quarterly basis
    • Manage and get the work permit and resident cards for foreign employees on time as required by laws
  • RECRUITMENT & SELECTION
    • Participate in a variety of recruitment activities so that the Company's recruitment process is efficient, effective and equitable
    • Responsible to identify recruitment needs in collaboration with line Directors and Managers
    • Responsible for sourcing candidates by preparing posting all known vacancies on the Archetype website; preparing job advertisements for job boards and newspapers; ensuring all candidates apply directly on the online application form; managing candidate validations and qualifications; arranging interviews, notifying candidates of interview details; notifying unsuccessful candidates that they are not progressing
    • Negotiate and prepare offers of employment under the guidance of the Human Resource Manager and the operational Director; using the approved standard format for offers of employment; and follow up negotiations to conclusion
    • Prepare job advertisement, web postings, shortlist candidates, liaise with agencies, contact candidates, arrange interview for line Managers and HR Manager/Director
    • Perform the 1st interview for all positions
    • Provide feedback to unsuccessful candidates based on the job's pre-established selection criteria and the Company's recruitment policies
    • Prepare job offer materials in accordance with the agreed job specifications so that successful candidates have all the information they need to decide whether to accept the position
    • Conduct employee orientation/induction and introductory training so that new employees are quickly integrated into the Company; ensuring at all times the most efficient processes are used to reduce mis-hires and recruitment costs
  • EMPLOYEE RELATIONS
    • Response to queries from employees about HR policies and other related HR issues such as Labor code, Social, Health & Unemployment Insurance, Personal Income Tax, etc
    • Participate in a variety of employee relations activities to minimise the negative impact of individual employee grievances or collective labour disputes.
    • Address basic and routine employee enquiries
  • GENERAL ADMINISTRATION
    • Responsible to provide administrative support for the Human Resource Management Team including: preparation of contracts, social/medical insurance enrollment/claims; employee file maintenance; updating employee details on the intranet; maintaining time-and- attendance records
    • Provision of support to the Human Resource Management team in relation to all aspects of the Human Resource function which may include: organizing training events; assisting with the preparation of induction documents; assisting with the preparation of reports; and any other tasks as requested by the Human Resource Manager or Director from time-to-time
    • Ensure that they are using the most up-to-date Group standard tools, forms and procedures in their work
    • Manage administrative processes associated with Human Resources such as visa applications, travel arrangements, meeting arrangements, work permit applications
    • Undertake general administration duties as and when required
    • Provision of support to Human Resource Management team in relation to all aspects of the Human Resource function which may include: organising training events; assisting with the preparation of induction documents; assisting with the preparation of reports
    • Undertake General Administration duties including: maintaining records for expenses; correspondence, transmittals, supplies/purchase orders; assisting with travel arrangements; assisting with visa and work permit applications; organising driver schedule; assist with translation
    • Ensuring that office stationery orders are properly handled and maintain sufficient stocks
    • Provide support in relation to the office facility management including: cleaning, repair/maintenance
    • Any other general duties of an administrative nature as requested
